Microsoft 365 Essentials: Are You Using All Features?

Most people use Microsoft 365 the same way they did a decade ago: basic Word documents, simple Excel spreadsheets, and email in Outlook. But Microsoft has packed hundreds of powerful features into 365 that most users never discover. Here are my favorites for small businesses and home offices across Northern Virginia.

Word: Beyond Basic Documents

Dictation

Press Alt + ` (the key above Tab) to start speaking and watch Word type for you. Surprisingly accurate, and great for drafting long documents quickly. Works in Word for the web and desktop.

Smart Lookup

Right-click any word or phrase and select "Smart Lookup" to get definitions, Wikipedia entries, and related web results without leaving your document.

Compare Documents

Working with multiple versions of a contract or proposal? Go to Review > Compare to see exactly what changed between two documents - line by line.

Excel: Power User Secrets

Flash Fill

Excel can recognize patterns and auto-fill data. Type a first name in one column, and Flash Fill will extract first names from a full-name column. Just press Ctrl + E.

Quick Analysis

Select any data range and click the little icon that appears at the bottom-right. Instant charts, tables, sparklines, and conditional formatting - no menu digging required.

XLOOKUP (The New VLOOKUP)

If you're still using VLOOKUP, it's time to upgrade. XLOOKUP is simpler, more flexible, and doesn't break when you insert columns:

=XLOOKUP(what you're looking for, where to look, what to return)

Outlook: Inbox Mastery

Focused Inbox

Outlook automatically sorts your emails into "Focused" (important) and "Other" (everything else). If it's not enabled: View > Show Focused Inbox. Train it by moving emails between tabs.

Delay Delivery

Write emails now, send them later. Click the arrow next to Send and choose "Schedule Send." Great for respecting boundaries (send that 11 PM email at 8 AM instead) and timing important messages.

Quick Steps

Automate repetitive email tasks. I set up a Quick Step that moves project emails to a specific folder, marks them as read, and forwards a summary to my team - all with one click.

OneDrive: More Than File Storage

Files On-Demand

Store everything in OneDrive without filling up your hard drive. Files show up in File Explorer but only download when you open them. Right-click any file > "Free up space" to remove the local copy while keeping it in the cloud.

Version History

Accidentally deleted a section of a document? Right-click any OneDrive file > "Version history" to restore previous versions going back 30 days.

Auto-Save

When a document is stored in OneDrive, Auto-Save means you never have to press Ctrl+S again. Every change is saved instantly. If you make a mistake, use the version history to roll back.

Teams Integration

If you collaborate with others, the real power of Microsoft 365 comes from integration:

  • Share Word documents directly in Teams chats - edits sync in real time
  • Turn Outlook emails into Teams tasks with one click
  • Schedule Teams meetings directly from Outlook
  • Use Excel in Teams channels for collaborative spreadsheets
